You’re Likely Already Paying for the Solution

Whether you are a Google Workspace shop or a Microsoft 365 powerhouse, you are likely only scratching the surface of what those platforms can do. Before you whip out the company credit card for a shiny new niche app, ask yourself: Does our current suite already do this?

In most cases, the answer is yes. Adding a new subscription often creates duplicate functionality, where you pay twice for the same result. Instead of adding a new line item to your budget, invest in training. Empowering your team to use 100 percent of your existing toolkit creates more value than adding a fifth communication app they have to check.

The Hidden Cost

Every new tool comes with a switching tax. When an employee jumps between five different apps to complete one task, they lose focus and momentum. This is known as cognitive friction, and it’s a fast track to burnout.

If your new tools focus more on surveillance than support, you risk alienating your best talent. When employees feel like they are being monitored under a microscope rather than empowered to work, they stop innovating and start looking busy.

Ask yourself, “Does this tool remove an obstacle, or does it just add another hoop for my team to jump through?”

Focus on the Metrics That Matter

Success isn't measured by how many hours an employee spends in their inbox or how many clicks they make. It’s measured by impact. For example:

  • Wrong KPIs - Inbox activity, login times, software usage stats.
  • Right KPIs - Customer satisfaction scores, project completion rates, and revenue growth.

Shift your focus from monitoring activity to measuring outcomes. Your IT strategy should support the latter without suffocating the former.

Before making your next IT investment, follow these three rules:

Eliminate Redundancy

Unless it’s a data backup, you don't need two tools that do the same thing.

Quantify the Impact

If you can’t predict a specific, measurable improvement to your bottom line, hold off on the purchase.

Ensure your tools talk to each other so your data isn't trapped in silos.
